The Way You Get Data is Changing

As the Enterprise Systems Renewal (ESR) programreviews and updates our major campus business systems (finance, student, HR, research, facilities, etc.), the way we access data is also changing.

The wide variety of applications that rely on data that is currently accessed through tools like IFIS, the Data Warehouse, CSV files, FinLink and MyFunds will also need to change.

To learn more about business processes and applications that are using the current data sources, we need you to complete the ESR Downstream Data Use Inventory

The information you provide will help project teams understand the business processes and applications that will be impacted by implementation of the new systems. They can then make recommendations on access to the new data sources.

Up First: Financial Data 

The FIS project team needs your assistance with an inventory of processes that are dependent on existing financial systems or financial data.

The project governance committee will begin a review of current data use in December 2018, and the team needs an inventory of local, custom-built software applications that may break on implementation of the new Oracle system. Financial data use inventory is requested by November 30, 2018.

Some integrations may require extensive resources to transfer, so this first phase of the financial inventory is especially critical for analysis and prioritization according to impact. The next phases will include a review of local processes that use financial data extracts.

Prepare and Complete Your Inventory Now!

You can help the FIS project meet their July 2020 go-live target for the Oracle financial system! Make sure your information is included in the December review and assessment:  

  • Coordinate inventory efforts within your area and designate an individual or workgroup responsible for completing the inventory.
    • Ensure that persons in your area responsible for major, critical business processes are aware of this inventory and are consulted. 
  • Access the ESR Downstream Data Use Inventory form.
  • To submit multiple applications, after your initial submission select "Submit another response."
  • To edit an already-completed submission, select "Edit your response."

Continue updating your data use inventories for all data sources. More projects will be using this inventory review process as they approach implementation.

Representative from each project team will contact you for additional information or clarification, as needed.
