SIS Project: What You Should Know (August 2024)
Key Project Milestones and Progress
Here's a quick summary of what's happened on the SIS Project since July's newsletter. You can watch the two-minute video summary or review the bullets below. If you have questions or would like more information about any of the following projects, please reach out to us at esr-student@ucsd.edu.
Triton Student System (TSS)
Implementing a new student information system, TSS, to replace our current system, ISIS, and bring together main campus and Extended Studies on to the same system
- Planned and developed remaining task lists for Process Groups 1-4 of the Process Design Workshops, which serve as detailed work plans.
- Completed presentations and updates for functional and technical teams, the project’s advisory committee, and other key subject matter experts, ensuring members had the opportunity to review and provide input on the progress of Process Group 1.
- Completed planning and preparation for Process Group 2 Design Workshops.
Note on Project Name
As of September 2024, the project has been renamed from the ISIS Replacement Project to the Triton Student System (TSS) Project. All mentions of "ISIS Replacement Project" in this article have been changed to "Triton Student System Project." All other article details remain unchanged and accurate.
Report Remediation
Creating new versions of existing reports using the Student Activity Hub (SAH) as the underlying source for the data
- The Registrar’s Office continues testing redeveloped QueryLink reports as they become available.
- Hired and onboarding a permanent data analyst to support the remediation of QueryLink reports.
Financial Support Payments Tool (FSPT)
Improving graduate student funding processing by building a new tool (FSPT) to replace the existing Financial Support Request Tool (FSRT)
- Updated the design document to include the necessary requirements for Phase 0.
- Continued development and unit testing efforts for Phase 0.
- Communicated with end users about stipends and tuition & fees entries for the 2024-2025 academic year based on the plan to transition from the current FSRT to the new FSPT.
CourseLeaf
Introducing the CourseLeaf curriculum system (CIM) to UC San Diego to support and streamline the curriculum process, from planning to implementation to assessment
- Notified stakeholders of changes to the project timeline, highlighting that course and program approval development will now proceed on separate timelines.
- Began CourseLeaf to ISIS integrations gap analysis.
- Met with project members of the Triton Student System Project to review the course approval prototype form to inform data integration needs.
- Began reconciling the course approval form design with the requirements traceability matrix (RTM) to ensure all requirements are met before the build phase begins.
Note: CourseLeaf does not handle course content, which will continue to be managed through the learning management system (LMS), Canvas.
uAchieve Transfer Articulation (UTA)
Implementing transfers and articulations, predefined and one-off, within the existing uAchieve system
- Published an article introducing the UTA Project.
- Discussed collaborating with Admissions to test real data in UTA, feeding from the UC Review tool for Fall Quarter 2024 admit students.
Student Financial Planning (SFP)
Replacing our current financial aid system, Pro Student Aid Management (ProSAM), with a new system
- Project work is currently on hold, awaiting a leadership decision on the timeline and immediate next steps.
