Departmental Security Administrators - Changes to TSS Access
The launch of the Triton Student System (TSS) is affecting many processes and workflows, including the Departmental Security Administrator (DSA) role.
Historically, this role was tasked with the creation and maintenance of departmental access to our student information system and its interfaces for staff and faculty. Staff members requiring additional access would request the needed role from their DSA.
While we still encourage staff and faculty to rely on their department’s DSA for access support and as a resource regarding security and IT access, TSS offers a decentralized approach that empowers individual faculty and staff to request their own access to TSS’s systems.
Please note, this only refers to DSA’s role in TSS access. DSAs will still be provisioning access for other business systems. For more information about DSA and their roles, please visit their website.
What is Changing?
DSA Roles
While DSAs will no longer be required to facilitate access to TSS or its downstream applications, they will continue to support access needs for other systems and serve as a resource for faculty and staff.
- TSS and downstream applications: Staff and faculty now request access directly; DSA approval or assistance is no longer required.
- Business Systems and other IT access: DSA approval will continue to be required where applicable.
- DSA support: DSAs will remain a resource for faculty and staff with questions about application access points.
TSS Roles
- Members of faculty, instructors and advisors automatically received access to view student records, academic information and student history in TSS.
- Staff and faculty who did not automatically receive access or require additional access to TSS, such as access to restricted student information, now need to complete a Campus Access Request form (CARF) and need to complete the UC Learning: FERPA - Confidentiality of Student Records and Privacy Rights.
- If you require additional roles in TSS other than the access that has already been provided, please review the Knowledge Base Article: Which TSS Role Should I Request?
- Access requests require supervisor approval.
Downstream Applications
- TritonLink will remain operational and continue to be a resource for all of campus.
- MyTritonLink will retire with the completion of Summer Sessions. Students will no longer be able to access MyTritonLink or the associated applications.
- Find a Student is the new TSS native application to search and view student records that should be available in mid-September.
- Faculty and staff are encouraged to keep using the current student search tool until this is widely available.
- Please review the TSS Current Limitations and Known Issues document for the most current information about Find a Student.
