SIS Project: What You Should Know (June 2023)

Key Project Milestones and Progress

Here's a quick summary of what's happened on the SIS project since last month's newsletter. If you have questions or would like more information about any of the following projects, please reach out to us at esr-student@ucsd.edu. 

Core Student Information System (SIS) Replacement

• Participants from the Conference Room Pilot (CPR) sessions attended a scorer debrief session on May 23 and have submitted their vendor scores. 
• UC San Diego Procurement will compile the scores to calculate the vendor with the best overall result. The SIS governance committee will then review the result and assess next steps.

Financial Aid System Replacement

• The Student Financial Planning (SFP) project team is continuing to work on the system configuration and design. Progress is being made on the Financial Aid project requirements as well as Accounts Receivable data discussions. 
• The project team for the Graduate Financial Support and Payments Tool (FSPT) is working on development of the application.

Curriculum Management System Selection

• EVC Simmons has approved the committee’s recommendation for a vended system. The contract has been awarded to Leepfrog Technologies Inc. and their system, CourseLeaf. Read more about the system selection.
• Contract with CourseLeaf has been signed and approved by all necessary parties.
• Meetings with CourseLeaf will begin next week, and readiness criteria are being assessed by the project team and stakeholders.

Report Remediation

• The project team continues to work on remediating reports currently used by the Colleges; 26 reports have now completed the user acceptance testing process.
• Project team members are designing the future state for Financial Aid reporting.

Student Finance

• The TritonPay 2.0 project team is actively preparing for a soft launch for students with active authorized payers by finalizing readiness criteria. Strategic communications and coaching guides for students and staff are being developed for the soft launch. 
• The Transact project team for the Division of Extended Studies (DES) is continuing work with the vendor on the design and configuration of the system. Phase 1 is complete and the team is moving on to Phase 2 of system development.

• Roadshow for Core SIS Project in Summer or Fall Quarter 2023 (date TBD)
