SIS Project: What You Should Know (November 2024)
Key Project Milestones and Progress
Here's a quick summary of what's happened on the SIS Project since October's newsletter. Learn more about the Triton Student System Project Town Hall, the updates for the FSPT Stipends Module Release, the collaboration updates with the CourseLeaf vendor and more.

Triton Student System (TSS)
Implementing a new student information system (TSS) to replace our current system, ISIS, and bring together main campus and Extended Studies on to the same system
- Completed Process Group 2 Design Review Sessions with the TSS Project's advisory committee and subject matter experts on November 1st and 8th, 2024, featuring a presentation and summary of the design plans for Process Group 2, including:
- Admissions & Program Registration
- Grading
- Course Event Scheduling
- Course Registration (Module Booking)
- Student Billing
- Fee Calculation, Financial Holds & Statuses
- Financial Aid Configuration, Processing, Integration (ProSAM and FSPT)
- Invoicing and Payment Plans
- Conducted the TSS Project Town Hall on October 31st. Watch the recording here!
- Published the updated TSS Project overview video, outlining the context and history of the project as well as the goals and impacts.
- Published an overview article on Process Group 1 Design Workshops, which includes information about the process areas, participants, key decisions and future directions.
Report Remediation
Creating new versions of existing reports using the Student Activity Hub (SAH) as the underlying source for the data
- Finished refining the template for the new QueryLink reports to improve the user experience.
- Continued developing and testing the new QueryLink reports with the Registrar’s Office.
Financial Support Payments Tool (FSPT)
Improving graduate student funding processing by building a new tool (FSPT) to replace the existing Financial Support Request Tool (FSRT)
- Continued the development and testing of ongoing work for the Stipends Module Release.
- Continued informing impacted stakeholders about the updated timeline for the Stipends Module Release and the new terminology for project stages, and published an article with these announcements.
- Began realignment of change management strategy with the updated Stipends Module Release timeline to guide and support the project goals.
CourseLeaf
Introducing the CourseLeaf curriculum system (CIM) to UC San Diego to support and streamline the curriculum process, from planning to implementation to assessment
- Met weekly with the vendor, Leepfrog, to review and align the Program Approval Form design with requirements.
- Approved the Functional Specification Document (FSD), outlining the vendor’s tasks for developing customizations for the Program Approval Form.
- Reviewed the vendor’s updated timeline proposal to align with project milestones and rollout strategy.
- Decided that data transformation for integration to the new SIS will be managed internally by IT Services.
Note: CourseLeaf does not handle course content, which will continue to be managed through the learning management system (LMS), Canvas.
uAchieve Transfer Articulation (UTA)
Implementing transfers and articulations, predefined and one-off, within the existing uAchieve system
- Held an advisory committee meeting on October 24th to support requirements with the integration to TSS.
- Discussed granting Institutional Research (IR) access to the uAchieve production database for data analysis and reporting needs, with a focus on ensuring minimal impact on live services.
- Work continues on defining current and future state processes to help inform the design, configuration and workflow of the system.
