SIS Project: What You Should Know (September 2024)

Key Project Milestones and Progress

Here's a quick summary of what's happened on the SIS Project since August's newsletter. You can watch the two-minute video summary or review the bullets below. If you have questions or would like more information about any of the following projects, please reach out to us at esr-student@ucsd.edu.


Triton Student System (TSS)

Implementing a new student information system, TSS, to replace our current system, ISIS, and bring together main campus and Extended Studies on to the same system

  • Completed Process Group 2 Initial Design Workshops, which consisted of:
    • Admissions & Program Registration
    • Grading
    • Course Event Scheduling
    • Course Registration (Module Booking)
    • Student Billing 
      • Fee Calculation, Financial Holds & Statuses
      • Financial Aid Configuration, Processing, Integration (ProSAM and FSPT)
      • Invoicing and Payment Plans
  • Developed a detailed work plan for the configuration and specialized coding needed to support the design of Process Group 1 process areas, consisting of:
    • Student Record
    • Academic Structure
    • Academic Calendar
    • Holds & Statuses)
  • Completed voting for endorsement of Process Group 1 by functional, technical, advisory and governance groups.
  • Collected and analyzed feedback from participants involved in Process Group 1 activities to improve future sessions.
  • Scheduled initial workshops for Process Group 3, set to take place from October 14 to November 7. 
  • Held an Advisory Committee meeting to discuss ongoing progress and next steps.

Note on Project Name
As of September 2024, the project has been renamed from the ISIS Replacement Project to the Triton Student System (TSS) Project. All mentions of "ISIS Replacement Project" in this article have been changed to "Triton Student System Project." All other article 
details remain unchanged and accurate. 

Report Remediation

Creating new versions of existing reports using the Student Activity Hub (SAH) as the underlying source for the data

  • Transitioned responsibility for the remediation of QueryLink reports from the previous contractor to the recently hired and onboarded permanent data analyst.
  • Developed a draft template for a new, more user-friendly interface (UI) for the updated QueryLink reports. 
  • Continued meeting with units to discuss report remediation efforts and gather their report inventories.

Financial Support Payments Tool (FSPT)

Improving graduate student funding processing by building a new tool (FSPT) to replace the existing Financial Support Request Tool (FSRT)

  • The team is currently focused on Stipend Payments (Phase 0) development. For more details on the project phases, please visit the FSPT Project webpage.

CourseLeaf

Introducing the CourseLeaf curriculum system (CIM) to UC San Diego to support and streamline the curriculum process, from planning to implementation to assessment

  • Validated the course approval workflow with the vendor, Leepfrog, ensuring alignment with the Courseleaf CIM form.
  • Continued gap analysis for the Courseleaf to ISIS integration.
  • Began documenting test cases for User Acceptance Testing (UAT).
  • Met with Leepfrog to evaluate the current design of the program approval form and assess the remaining work for its development.
  • Reviewed the Functional Specification Document with Leepfrog, which outlines the vendor’s tasks for developing the course approval form.
  • Began reviewing the course approval form design to ensure it meets all the requirements previously outlined.

Note: CourseLeaf does not handle course content, which will continue to be managed through the learning management system (LMS), Canvas.

uAchieve Transfer Articulation (UTA)

Implementing transfers and articulations, predefined and one-off, within the existing uAchieve system

  • The team is focused on current and future state development.

Student Financial Planning (SFP)

Replacing our current financial aid system, Pro Student Aid Management (ProSAM), with a new system

  • After careful consideration by project leadership, key stakeholders and subject matter experts, the implementation of Oracle Student Financial Planning has been canceled. 
  • Read the SFP Project's cancellation announcement for more details on what is happening, why, and next steps.
