SIS Project: What You Should Know (September 2025)

Key Project Milestones and Progress

Here's a quick summary of what's happened on the SIS Project portfolio this past month. You can watch the two-minute video summary or review the bullets below. If you have questions or would like more information about any of the following projects, please reach out to us at esr-student@ucsd.edu.


Triton Student System (TSS)

Implementing a new student information system (TSS) to replace our current system (ISIS) and bring together main campus and Extended Studies on to the same system

  • Continued system build and configuration work
  • Conducted user acceptance testing, test script development and automation, with the first three processes released for testing
  • Held sessions to discuss detailed cutover plans
  • Continued developing key communications and engagements about the impact of TSS

Continuity Planning for TSS

Remediate reports, applications and integrations to ensure business continuity during the implementation of the new TSS

  • Remediation of ITS-managed applications and integrations is underway 
  • Released new fields in the Student Activity Hub (SAH) to support the University of California Office of the President (UCOP) reporting, with more to come in the next release cycles
  • Began gap analysis for National Student Clearinghouse (NSC) reporting that will be solutioned via the SAH
  • Began reassessment of the release schedule for the two remediated QueryLink Accounts Receivable reports
  • Continued discussions with distributed IT units to support application and departmental report remediation

Financial Support Payments Tool (FSPT)

Improving graduate student funding processing by building a new tool (FSPT) to replace the current Financial Support Request Tool (FSRT)

The project team is currently focused on the Stipends Module Release which is for non-employment stipends:

  • Continued user acceptance testing (UAT) activities with end users to identify system bugs
  • Prepared the quality assurance (QA) environment for end-to-end testing 
  • Continued strategic planning for training, communications plans and university engagements in preparation for launch
  • Began reviewing and compiling the go/no-go checklist
  • Continued cutover (transition) planning and activities 
  • Conducted project engagement with Assistant Deans/Management Service Officers (MSOs) and Division of Graduate Education and Postdoctoral Affairs (GEPA) Deans
  • Held monthly office hours to address stakeholder questions and concerns

CourseLeaf

Introducing the CourseLeaf curriculum system (CIM) to UC San Diego to support and streamline the curriculum process, from planning to implementation to assessment

  • The CourseLeaf Course Approval Form is anticipated to go live on September 29, 2025
  • Continued testing for ISIS interim integration and development of integrations with the new student information system (TSS)
  • Completed training materials for users
  • Conducted regression testing on vendor solutions to validate bug fixes 
  • Established the support structure in ServiceNow to manage issues and requests
  • Launched the course approval form for main campus and informed stakeholders of available resources and support (office hours, documentation, email, SNow form, etc.)

Note: CourseLeaf does not handle course content, which will continue to be managed through the learning management system (LMS), Canvas.

uAchieve Transfer Articulation (TA)

Implementing transfer articulations, predefined and one-off, within the existing uAchieve system

  • Collecting and analyzing requirements to prepare for integration of uAchieve with TSS
  • Completed review of Functional Design for the Transcript Receipt and Validation App in TSS, which is related to evaluation of transfer credit
  • Next steps will involve the integration of uAchieve Transfer Articulations in this process
